Account / Family Information


Article Summary

Once you’ve set up the basic System Configuration settings (see: Family Data Overview), you’re ready to begin entering families and children. This article explains how to enter a new family account or edit an existing account.

Getting There

From the Procare Home screen click the Family Data & Accounting tab.

Add a New Family (an Account)

  1. Click the Add Account icon (the folder with the plus (+) sign) on the account toolbar (upper toolbar).

  1. Type an Account Key (up to 8 characters) used to alphabetize this family. Use the first few letters of their last name. If they have more than one last name make the Key match the name of the primary person responsible for paying the bill.

  2. Add “payers” to this account. The payers are the parents, guardians or other persons who are financially responsible for this account. Click the tiny drop down arrow on the Add button to add a New Person or Existing Person.
    Important! Divorced parents should be entered as two separate accounts. Each parent will be the Primary Payer for their own account. See article: Divorced Parent Billing

  3. Enter data on the Person Information screen.

  4. When you return to the Account Information screen continue adding additional payers (secondary payers) as needed for this family. Use the Up & Down arrows to change their order. The first person on the list is considered the Primary Payer.

  5. Click Save > Exit.

Edit Account Information

Edit an account such as adding or changing Payers, etc.

  1. Look up the Family at the main screen of Family Data & Accounting.
  2. On the Account Toolbar click the Edit Account icon (file folder).

  1. Make any necessary changes:

    1. Change something about the Account itself (such as changing the Key, adding a comment, alert, agency or marking the account as “hidden”).
    2. Change information about a Payer on the account – just dbl-click the name of the Payer and make your changes on the Person Information screen.
  2. Click Save > Exit.
