New Location Checklist

How to add a new school to your existing database

Once you’ve purchased software modules for your new location, here’s a checklist of things to do.

  1. Add the location to the appropriate region under Regions & Schools.

  2. Update and apply the module license(s) that will be used by the location.

  3. Procare Users:
    a. Expose existing Procare Users, who are not System Supervisors, to the new location as needed.
    b. Add new Procare Users needing access to the new location.

  4. Family Accounting & Agency Accounting:
    a. Expose the Charge/Credit Descriptions that will be used by the new location.
    b. Enter any Standard Amounts that the new location might use.
    c. Select the Deposit Accounts the new location will use.
    d. If you use Agency Accounting, expose Third Party Agencies to the new location as needed.

  5. Family Data:
    a. Check that Tracking Items and User Defined Fields are exposed as needed.
    b. In the Scheduling part of configuration, any school specific items (noted by the schoolhouse icon) will need to be entered.
    c. In Immunizations, expose any global items that need to be shared, or enter them as school specific.

  6. If you use Meal Tracker, any school specific items will need to be entered.
