Employee Timecard Approval

Setting Up Employee Timecard Approval

Please Note: This feature is only available using the Procare skin on the kiosk, located in the Options screen under the Checkin program.

In order for employees to begin approving their timecard via the kiosk, the system supervisor will need to:

  • Enable the feature by navigating to Configuration > System > Locations & Users > Regions & Schools. Locate the Employee Approval setting under Employee Data and set it to True.

  • Then, choose the number of days an employee has to approve their previous timecard before they will be blocked from checking in at the kiosk. When the days to approve has past, the employee will receive a message stating they are required to approve their time. If they do not approve, they cannot check in.

How Employees Approve Their Timecard

If the school is set up for employees to approve their timecard from the kiosk, follow the steps below:

  1. From the kiosk, click Start.

  2. Enter the PIN and click Continue.

  3. Click Timecard, then select Previous Period.

    • If a previous timecard requires approval, the following message will display when the employee attempts to clock in via the kiosk. Click Approve Timecard to review and approve previous timecard.

  4. Review timecard and click Approve All Timecard Entries. If there are discrepancies in the timecard, contact an admin prior to approving. Previously approved times will have a checkmark in the Approved column.

  5. Click Yes to continue approving or click No to cancel the approval.

  6. A confirmation will display that all timecards have been approved, click Close.

Editing an Employees Timecard

If an employee’s timecard has discrepancies, follow the steps below to make the edits. Once updates have been made, the employee will be required to approve it.

  1. Navigate to Employee Data & Payroll and select the employee from the left.

  2. Click the Timecard (clock) icon.

  3. Locate and edit the clock-in details as needed, then click Save.

  4. When the employee clocks in from the kiosk, they will be prompted to approve the changes.

Employee Time Card Approvals Report

  1. Navigate to Employee Data & Payroll, then click Reports > Standard Reports.

  2. Locate the Employee Data > Time Card section, then select Employee Time Card Approvals.

  3. Choose the Date Range and any applicable filters, then click Run Report.

  4. This reports will display the following information:

    1. Employee’s name
    2. Day and date of clock-in/out
    3. Clock-in/out times
    4. Total daily hours
    5. Time card approval date and times – if these are empty, the timecard has not been approved by the employee.
