How do I set up Bus Runs?

To create a bus run list or bus roster you’ll:

  1. Set up Child Tracking Categories for each bus.
  2. Assign Tracking (bus runs) to each child.
  3. Print a Report like: Reports > Standard Reports > Family Data > Tracking > Child: Pickup/Deliver – Weekly M-F.
  4. Optional: Check in a busload of children with Batch Check In/Out.

Can a staff person check in a busload of children at once?

Yes. There are several ways this may be done.

  1. From within Procare: The quickest method is to use the Batch Check In/Out feature. Assign each child a Child Tracking Item named for the bus (like “PM – Bus: Lincoln School”). At the Batch Check In screen select the appropriate Tracking Item and choose to check in everyone on the bus, or just certain children.

  1. From the Check-In screen: Another option is to assign the bus driver (or staff person) as an authorized pickup on the Information & Relationships screen of each child who rides the bus. The driver then enters their own credentials (fingerprint, etc.) at the Check-In Computer. Using this method, it would be necessary to select each child to check in.

  1. If a staff person is assigned as an authorized pickup to all children who ride the bus, you could also use the Receptionist check-in feature, or for Procare Cloud customers use the Check-In Web App.
