Download a number of “General” payroll withholding formulas for things like employee child care, health insurance and retirement. Use these formulas as a starting point and customize them as needed for your situation.
Download Files & Import to Procare
- Click a Withholding Formula link from the list below. Save it to a place on your computer where you can easily find it again, such as your desktop.
- From the Procare Home screen go to Configuration > System > Accounting Management > Payroll > dbl-click Payroll Formulas.
- At the Payroll Formulas screen click the Import Formula button and browse to the file you downloaded (for example the file may be on your desktop).
- To view the imported formulas select the Category “General” (top left) on the Payroll Formulas screen. Dbl-click the name of the formula to edit it as needed.
Important! You are responsible for ensuring accurate changes to General Withholding formulas. Procare does not update these formulas.
Download “General” Withholdings | Description |
---|---|
Employee Child Care | Child Care for children of employees. Amount varies per employee. |
Health Plan | Health Insurance with a varying amount per employee. |
Retirement Plan | Withhold a fixed amount or percentage for retirement (per employee) with a maximum contribution limit per year. You may Set Exemptions if this is a pre-tax withholding such as with a 401k. |
AFLAC | AFLAC Insurance. You may Set Exemptions if this is a pre-tax withholding. |
Garnishment | Garnish a percent of net wages. Important! You MUST EDIT the formula to specify your state. After importing the formula, dbl-click the Formula Name “Garnishment” and change the formula on line 4 to your state. New York would be entered as Fun[nyinctx]. The default setting is California, shown as Fun[cainctx]. Note: For Kentucky it is slightly different. Use Fun [kyinctax] with the word tax spelled out. Contact Procare Support if you need assistance. |

CA – SDI 2021 | 2021 – California State Disability Insurance (CASDI). |
CA – SDI 2020 | 2020 – California State Disability Insurance (CASDI). |
IN – County Tax | County tax for Indiana residents. This formula may be used for any year. Enter the tax rate for each employee. Note: If you use this you must enter ZERO in the Indiana State Income Tax formula for the county rate so you aren’t withholding the county amount twice. |
MA – FML (under 25 employees) | 2021 – Family and Medical leave contribution for Massachusetts residents. This formula is for employers with 1-24 employees, and may be used beginning Jan 1, 2021. Enter the employee’s percentage share of the family and medical leave contribution. |
MA – FML (under 25 employees) | 2020 – Family and Medical leave contribution for Massachusetts residents. This formula is for employers with 1-24 employees, and may be used beginning Jan 1, 2020. Enter the employee’s percentage share of the family and medical leave contribution. |
MA – FML (25 or more employees) | 2021 – Family and Medical leave contribution for Massachusetts residents. This formula is for employers with 25 or more employees, and may be used beginning Jan 1, 2021. Enter the employee’s percentage share of the family and medical leave contribution. |
MA – FML (25 or more employees) | 2020 – Family and Medical leave contribution for Massachusetts residents. This formula is for employers with 25 or more employees, and may be used beginning Jan 1, 2020. Enter the employee’s percentage share of the family and medical leave contribution. |
NJ – Disability 2021 | 2021 – Disability insurance. |
NJ – Disability 2020 | 2020 – Disability insurance. |
NJ – Family Leave 20211 | 2021 – Family leave insurance for New Jersey. |
NJ – Family Leave 2020 | 2020 Family leave insurance for New Jersey. |
NJ – Unemployment 2021 | 2021 – Unemployment insurance for New Jersey. If you use this, do NOT assign the separate SUTA withholding to employees. However, you do still need to fill in both the employer and employee SUTA settings on the School Options screen so tax deposit reports will include the information. |

OH – School District Tax | Withholds a varying rate depending on the school district in which an employee lives. Enter 3 variables for each employee: School District Percentage (2.0, 1.5, 1.25, 0.75, 0.25, etc.) Specify “Earned Income Only” (0) or “Traditional” tax base (1) Number of Exemptions (“Traditional” tax base only) See also: Ohio School District Tax Withholding for more detail. |

All employees (even salaried) must have hours imported to (or manually entered on) the Payroll Check Calculation screen. |
