Can a teacher check in the children in their classroom?

Yes. There are several ways a teacher can check children in.

  1. Use Batch Check In and Filter the Classroom header to show only children in a particular room – OR –

  1. Assign the teacher as a pickup person for each child and then:
    1. Use Receptionist Check In.
    2. Or, have the teacher check children in at a check-in computer.
    3. Or, for Procare Cloud customers, use the Check-In Web App.

Can I clear, remove, erase check-in information and re-register a person?

Yes. You can clear, remove and erase all ID’s, passwords, fingerprint records, etc. as if the person had never used the check-in system. This may be helpful in cases where a person has had trouble registering or re-registering.

  1. How to begin depends on whether the person is an authorized pickup or employee:

    1. Authorized Pickup: Go to the Child’s Information & Relationships screen and dbl-click name of the pickup person to access their Person Information screen.
    2. Staff Person: Go to their Employee Information and Relationship screen.
  2. When you see the New Register button, hold down the CTRL key on your keyboard (image below) and click the button. You will see a warning message that all check-in and registration information for this person will be removed.

Click once on the New Register button to generate a new Temporary Registration Number so the person may re-register.

Can I monitor who checks in?

Yes. Download the Check-In Monitor to see when a child or employee is checked in/out. The monitor displays names and photos of anyone checking in or out in the last 5 minutes.

How can I tell which children haven’t Checked In?

Depending on whether you have your children on schedules or not, there are two different approaches for finding children you expect to be checked in for the day, but aren’t.

If you’ve assigned schedules to each child.

Use the Scheduled but not Checked In report. You can find it in Reports> Standard Reports> Attendance Tracker> Not In Attendance> Scheduled but not Checked In.

If you’re not using schedules.

a. Use Family Data> Functions> Attendance Tracker> Batch Check In/Out.
b. Set the Batch Type to Check In.
c. Click Primary Classroom.
d. Click Refresh List.
e. Click the box to select all children.
f. DO NOT SELECT Process.
g. Click Report. This is your list of all enrolled children who are not currently checked in.
h. Click Exit.

How can volunteers and counselors use Check-In?

If you have interns/volunteers/counselors/or repeat visitors to your center, you may want to either record their times or allow them entry through the door (if you are using the remote door controller).

Before you Begin

Create a unique Work Area and Classroom for the guest to check into, unless you are fine with having them check in to an existing classroom. (which might affect some classroom ratio reports)

Set Up the Account

The quickest process, when using a check-in workstation, would be to:

  1. Create an account/family named something like “Guest”.
  2. Create a fictitious payer for the account.
  3. For every non-employees you want to get through the door controller or have a time card for, create a child record.
  4. Enter an enrollment date.

  1. In the child relationship screen (for each person) add them as a pickup for themselves and assign them to the classroom you want them to check into.

  1. Assign them a temporary registration number, and have them register as all of your other parents do.

Note: At this point, they can check themselves in or out using the check-in workstation. If you do not want to have their times entered on a time card, uncheck the “Require Check In/Out to Open Door” in the Check-In options screen.
