Implementing Procare Desktop
Within one business day of purchase, you’ll receive your Welcome to Procare email. This email includes instructions on installing your new software, tutorials on how to get started with Procare, and a calendar link to schedule your Kickoff Meeting with your implementation manager. We will also reach out via phone to schedule your Kickoff Meeting if we don’t hear from you.
Scheduled Kickoff Meeting(15 minutes) - Meet your implementation manager, determine your software training needs, set a target implementation completion date, and schedule your implementation training meetings.
Scheduled Meeting 1: Family & Employee Data (45 minutes) - Set up basic system configuration, add and edit family and employee data, and get acquainted with Procare’s engagement functionality.
Scheduled Meeting 2: Payments (45 minutes) - Learn about family ledgers, balance forwards, registration fees, and Procare’s integrated electronic payment processing.
Scheduled Meeting 3: Tuition & Billing (45 minutes) - Configure tuition options, assign rates to children, and learn how to send family invoices.
Live Webinar 1:Getting Started with Procare Engagement (60 Minutes)
Live Webinar 2: Attendance, Daily Activities, and Communications (60 Minutes)
Scheduled Meeting 4: Q&A Session (45 minutes) - Review engagement functionality's administrative settings and ask questions about your new software.

Notes on the Procare Desktop Implementation Process:
- All implementation meetings, including the Kickoff Meeting, will be conducted via Zoom. It is best to have Zoom installed on the same computer as Procare.
- If you need any special functionality not listed above, please inform your Implementation Manager during your Kickoff Meeting so they can determine your needs and schedule the appropriate training meetings.
- The target implementation completion timeline is 30 days.
- If you’re coming to Procare from a different software, your Implementation Manager can discuss best practices for converting data during your Kickoff Meeting.
- Switching software systems is a collaborative effort. Your implementation manager will instruct and provide resources to simplify this process, but there will be “homework” between sessions to ensure an expeditious implementation.
- Live Webinars 1 & 2 can be attended at any point before your final Q&A Meeting.
