Getting Started Procare Users and Passwords
Overview: Add the people who will use Procare, assign them to a User Group, and expose them to the locations to which they need access. The People you add as Procare Users are staff or volunteers who will have access to Procare. Some people may have multiple roles. An employee might also be a parent and an emergency contact for another family.
How to Login for the First Time
The very first time you log on to Procare your username is “admin” (no quotes) and your password is also “admin”, then you’ll be prompted to select a new password (known only to you) and choose your Security Questions.
How to Look Up a Username
You may look up the username for anyone in a lower User Group than yourself. This could be helpful if someone forgot their username. For example, if you were in the user group “Director” or “Assistant Director”, you could look up the user name for someone in a lower group, like “Teacher”. This assumes the group to which you are assigned is allowed to access the Procare Users screen.
- From the Procare Home screen click Configuration > System > Procare Users.
- Locate the name of the person. Click the heading Name to sort alphabetically by last name.
Note: Persons in the “System Supervisor” user group (the highest level) can view all usernames.
How to Change a Username
If you have access to the Procare Users screen, you may type over the username to change it; otherwise, contact your supervisor.
What is Your Password?
When you first log in to Procare your username and password are the same. If your username were abc123 your password would initially be abc123. The first time you log in you will be prompted to select a new password known only to you, as well as Security Questions.
How to Change a Password
As long as you know your current password, you may change it. From the Procare Home screen click Configuration > User > Change Password.
How to Setup Your Security Questions
If you have not already done so, you’ll be required to select security questions when you log on. If you later forget your password, you’ll be able to reset it (to match your username) by answering your questions.
What is the Identifier and May it be Changed?
The Identifier is a 3 or 4 digit abbreviation used to track certain actions in Procare. The identifier shows things like who made an entry on a Ledger Card or changed a child’s Time Card, etc. If you have access to the Procare Users screen, you may type over the identifier to change it; otherwise, contact your supervisor.

When a user attempts to sign in with an incorrect password several times, they will get a “Login failed; user account is currently locked out due to too many invalid login attempts.” Anyone in a higher level User Group who has the proper permissions may unlock them.

Create groups then assign people who use Procare to a particular group. Groups may have limitations set to prevent people from performing certain tasks. A single center with just a few employees might only have two or three groups. A large center or child care chain might have dozens of groups.
