Add Immunizations (Shot Records) to a Child, Employee

Record dates a child (or employee) received each immunization or other date based requirement.

Before You Begin

Set up when each immunization is due. See: Immunization Setup

Getting There

  1. Look up a Family (or employee) and click once on the name of the person to select them.
  2. With the child (or employee) name selected, click the Immunization & Requirements icon (syringe) on the toolbar.

Note: A green icon means there are no immunizations due for this person.

Immunizations Due or Coming Due Soon

An immunization is due when either of two shot icons turns red; a pink icon indicates in item will be due soon.

a. If any child in a family has something due (or coming due) the shot icon (upper right) will change color. Hold your mouse over the icons to see which children are due.

b. A red (or pink) icon on the child toolbar means that particular child has something due (or due soon).

Immunizations & Requirements for Child / Employee

Enter Dates Immunizations were Received

  1. Choose either the Immunization or Requirement tab (upper left).

  1. Enter the date each item was received by selecting a date from the calendar. If you type the date, click the small Save button. When using the calendar, it’s not necessary to click the small Save button.

  1. Optional: Enter a Comment to explain a unique situation for this child.
  2. Click Save > Exit (bottom right).

Child is Exempt
If a child is exempt from an immunization (or a shot in the series) just check the Exempt box instead of entering a date. You may also add a Comment to explain why the child is exempt (optional).

Change an Immunization Date

To change a date, select the new date from the calendar. If you type the date, click the small Save button. When using the calendar, it’s not necessary to click the small Save button.

Delete / Remove an Immunization Date

To remove an incorrect date, start with the most recent date and work your way from the bottom of the list to the top. .

  1. Open the most recent date field (bottom date in that column) and dbl-click to select the entire date.
  2. Press the Delete key (on your keyboard) to erase the date.
  3. You must click the small Save button on the date screen.

Keyboard Shortcuts
Use the following keystrokes to move between and edit immunization dates.

  • F4: Open a date field so you can type the date.
  • Tab: Move down through a series of dates.
  • Arrow Up, Down: Move up or down through a series of dates.
  • Arrow Right, Left: Move side to side from one immunization to another.
  • Enter: Save an item when the Date or Save buttons are highlighted.
  • Spacebar: Mark an item like the “exempt” box or save an item when the Save button is highlighted.
